Accounting Analyst

PURPOSE: Perform accounting and clerical duties related to the efficient maintenance and processing of accounts payable transactions, customer order entry, and general office functions.

 

JOB DESCRIPTION (DUTIES AND RESPONSIBILITIES):

 

Accounts payable related

  • assemble, review and verify invoices and check requests
  • flag and clarify any unusual or questionable invoice items or prices
  • sort, code and match invoices
  • set invoices up for payment
  • enter and upload invoices into system
  • track expenses and process expense reports
  • prepare and process electronic transfers and payments
  • prepare and perform check runs
  • post transactions to journals, ledgers and other records
  • reconcile accounts payable transactions
  • prepare analysis of accounts
  • monitor accounts to ensure payments are up to date
  • research and resolve invoice discrepancies and issues
  • maintain vendor files
  • correspond with vendors and respond to inquiries
  • produce monthly reports
  • assist with month end closing
  • provide supporting documentation for audits
  • maintain accurate historical records
  • maintain confidentiality of organizational information
    Order Entry/AR related
  • create project files in ERP system
  • generate and send out invoices
  • communicate with customers via phone, email, mail or personally
  • assist with month-end closing
    Other Duties
  • Maintain office supplies by checking inventory and order items
  • Answer incoming calls and assume other receptionist duties when needed
  • Implement and monitor programs as directed by management, and see the programs through to completion
  • Generate memos, emails and reports when appropriate
  • Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
  • Respond to questions and requests for information
     
    BASIC REQUIREMENTS:
  • knowledge of accounts payable & accounts receivable
  • knowledge of purchasing function (purchasing, receiving, RMA)
  • knowledge of general accounting procedures
  • knowledge of relevant accounting software (such as MS Dynamics,
  •  Epicor, QuickBooks)
  • proficient in data entry and management
  • understanding of internal controls
  • knowledge of regulatory standards and compliance requirements
  • 1-3 years accounts payable or general accounting experience
  • knowledge of MS Word and Excel (intermediate level)
