The Marketing Assistant executes support activities and supports administrative tasks in marketing.  This includes assisting in the RFP process for literature and point of purchase fixtures, supporting participation in industry conferences and trade shows, and undertaking daily administrative tasks to ensure the functionality and coordination of the Marketing Department’s activities. This role requires strong skills across many disciplines, as well as the ability to work collaboratively with internal resources. Creativity, critical thinking, organizational skills and up-to-date technical skills are all necessary.


Marketing Support                                                                                                                                                                              


  • Oversees use of departmental purchasing card.  Reconciles charges, submits receipts and ensures card is used within company guidelines. 
  • Request quotes from suppliers for marketing literature and merchandising materials.
  • Place purchase requisitions for departmental purchases.
  • Process requests for merchandising materials, giveaways, marketing funds and promotional materials.
  • Supports marketing director with admin functions including work order reporting, travel and calendar maintenance.
  • Coordinates receipt of items for accounting purposes.
  • Investigating and determining what/how/why material came in incorrectly or damaged and provides solutions to prevent re-occurrence.
  • Reviews open purchase orders to ensure fulfillment and deadlines are met.
  • Coordinates and monitors event timelines to ensure all deadlines are met.
  • Prepares presentations.
  • Process marketing invoices in Concur.


Literature and Merchandising Fulfillment                                                                                                                                                                                                                                   

  • Manages sales and marketing literature to support all sales channel requirements.
  • Keeps accurate records of inventory of all Harris literature, point of purchase materials, fixtures, and giveaways.
  • Works with outside sales to deploy merchandising projects including POP and fixture fulfillment, timelines, and tracking.
  • Solicits quotes and places purchase orders for replacement literature, POP, fixtures and giveaways.
  • Tracks expenditures associated with literature and merchandising fulfillment.


Trade Show & Event Planning                                                                                                                                                            

  • Responsible for aspects of planning trade shows, meetings or special events.
  • Maintains company Trade Show calendar and administrative tasks associated with shows including booth payments, exhibitor registration, uniform fulfillment, and event planning.  Tracks tradeshow expenses and regularly communicates with finance to ensure proper recording of associated expenses.
  • Registers company team members for events and organizations; facilitates travel arrangements.
  • Calculates and ensures adherence to budgets.
  • Coordinates all amenities and accommodations including site selection, food, transportation, and audio visual equipment.
  • Coordinates and monitors event timelines to ensure all deadlines are met.
  • Coordinates event logistics, including liaising with attendees concerning registration and tracking attendance.
  • Coordinates materials support and pre and post-event evaluations.


Qualifications / Education

  • Minimum 4 years’ experience in a marketing executive administrative or office manager role or equivalent experience.
  • Excellent verbal, written, organizational, analytical, and interpersonal skills.
  • Exceptional attention to detail and collaborative skills.

Must have a calm demeanor when interacting with customers.  Must be capable of communicating technical issues in writing as well as orally.
