PURPOSE: To perform assigned administrative tasks, as well as organize and direct incoming communication to the proper individuals in the Maintenance Department.



  • Answer internal and external telephone inquiries
  • Handle all secretarial functions for the Maintenance departments
  • For record keeping: Maintenance Labor report
  • Order specific parts for the Electricians, Mechanics, and Building Maintenance groups
  • Order all office supplies used in the maintenance office
  • Schedule the maintenance of all office equipment in the maintenance office
  • Enter all payroll/day work information into Flexnet
  • Maintain paperwork for Purchase Cards
  • Enter and track all work orders for the Maintenance Department
  • Maintain the schedule of all maintenance employees
  • Schedule and inform Maintenance employees of safety training
  • Perform other duties as requested
  • Understand the Company’s Quality Policy and how it relates to this job
  • Understand the relevance and importance of the Quality activities and how they relate to achieving the Quality objectives
  • Understand the Company’s EHS Policy and how it relates to this job
  • Be aware of OSHA and EPA laws and regulations as well as the Company’s Plant Rules and Regulations that pertain to this job
  • Work in a safe manner and observe all company EHS procedures
  • Follow safe equipment operating procedures and only operate equipment when guards are in place and in good condition
  • Know that the company EHS procedures are contained in reference books, such as, Plant Rules and Regulations, and Material Safety Data Sheets, which are located in the Foreman's area
  • Immediately notify the Foreman/Shift Foreman/Group Leader if there is any safety hazard, any equipment not operating correctly, or if there are any questions regarding EHS procedures
  • Assumes additional responsibilities as needed or directed in support of the Company’s 2025 Strategy.



  • High school education or equivalent in experience
  • Must have a basic education with the ability to read, write and understand written specifications and procedures
  • Knowledge of office methods, equipment and practices
  • Knowledge of PC software packages and network systems
  • The ability to learn and use Microsoft Office, SAP, and Flexnet
  • The ability to process figures and maintain neat and accurate records
  • The ability to handle a constantly changing series of priorities
  • Excellent verbal and written communication skills
