Export Order Management Specialist

Position Overview

The Export Order Management Specialist is responsible for independently managing the end‑to‑end execution of international customer orders, ensuring accuracy, regulatory compliance, and seamless shipment fulfillment. This role requires strong operational ownership, the ability to resolve complex documentation and logistics challenges, and the expertise to coordinate with multiple internal and external partners. The specialist oversees order validation, shipment booking, documentation preparation, customs‑related activities, and milestone monitoring across global trade lanes. In partnership with Warehouse, Sales, Finance, Global Trade Compliance, and freight forwarders, this position proactively identifies and resolves issues that impact shipment timing, cost, or compliance. By leveraging advanced tools, executing detailed documentation tasks, and maintaining high data quality, the Export Order Management Specialist plays a critical role in supporting efficient global operations, delivering a strong customer experience, and ensuring adherence to export regulations and company standards.

Job Duties & Responsibilities

• Own the end‑to‑end execution of the export to shipment process, including detailed order review, release and hold management, shipment booking, and completion of post‑shipment documentation.                    
• Prepare and review complex export documentation, such as certificates of origin, legalized/consular documents, proforma invoices, shipper instructions, and advanced export packing requirements.                    
• Manage and coordinate export documentation filings through company systems, freight forwarders, or government portals, ensuring accuracy, data integrity, and timely submission.                       
• Ensure accurate classification inputs—including HTS/ECCN (as provided), country of origin, valuation elements, and Incoterms alignment—partnering closely with Global Trade Compliance and Master Data to resolve missing or unclear data.      
• Coordinate consolidations, container planning, special handling requirements, and customs clearance activities with freight forwarders and customs brokers.                  
• Proactively identify, troubleshoot, and resolve shipment delays or holds, including documentation issues, port congestion, or regulatory restrictions; communicate impacts and recovery plans to stakeholders.                
• Collaborate cross‑functionally with Warehouse, Sales, Finance/Credit, Global Trade Compliance, and Subsidiaries to resolve order discrepancies, pricing or payment‑term conflicts, and compliance‑related issues.           
• Monitor, reconcile, and validate shipment costs and charges, including freight terms and accessorial fees; support resolution of billing discrepancies and cost‑related issues.
• Leverage TOPS analytical modeling to design highly efficient export container and pallet configurations, providing detailed load‑build schematics that drive accuracy and efficiency in warehouse fulfillment.

Minimum Qualifications

• 2-5 years experience in supply chain, business, logistics, or related field.
• 1-2 years of experience in export operations, order management, international logistics, or a related supply chain function.
• High attention to detail and commitment to data quality, documentation accuracy, and compliance readiness.
• Effective cross‑functional communication skills to coordinate with Warehouse, Sales, Finance, Credit, Trade Compliance, and external logistics partners.
• Familiarity with HTS/ECCN classifications, country‑of‑origin requirements, denied‑party screening, and export‑control fundamentals (with ability to resolve moderate issues and escalate complex compliance questions).
• Demonstrated ability to prioritize multiple deadlines, adapt to shifting requirements, and maintain accuracy under time constraints.
• Understanding of freight incoterms, accessorial charges, and cost‑to‑serve concepts

Preferred Qualifications

• Bachelor’s degree preferred; 2–4 years of experience in export operations, order management, international logistics, or a related supply chain function.
• Proficiency in Microsoft Office (Excel, Outlook, Word).
• Proficiency in SAP preferred.
• Foundational understanding of international shipping terms (Incoterms), documentation, and order‑to‑shipment processes is a plus.
• Prior experience preparing export documentation, coordinating international shipments, or working with freight forwarders and customs brokers strongly preferred.
